This explains what personal information we collect when you visit vintageoriginals108.co.uk, buy from us, join our list or contact us, and what we do with it.

Who we are

Vintage Originals 108 is run by Bhavesh Sanghrajka trading as Vintage Originals 108, 23 West Way, Edgware, HA8 9LA, United Kingdom. We are the controller of your personal information. Contact: shop@vintageoriginals108.co.uk.

What we collect

When you buy: your name, email, phone number, delivery address, what you bought, the price, any discount code, and the order reference. Card payments are taken by Square on Square’s own checkout: we never see or store your card details.
If you tick “Keep me posted” or join the list: your email address and when you agreed.
When you email or message us: what you send us.
When you visit the site: our hosting provider keeps short technical logs (such as IP address and browser) to keep the site secure. If you accept analytics cookies, Google Analytics records how you use the site (pages viewed, rough location, device). Frames you save with the heart are kept only in your own browser, not by us.

Why we use it, and our legal basis

To take payment, deliver your order, send you order and tracking emails, handle returns and refunds, and answer questions: to perform our contract with you.
To keep business and tax records: legal obligation.
To prevent fraud and keep the site secure, and to deal with problems and claims: our legitimate interests.
To email you about new frames and drops: your consent, only if you ticked the box. You can unsubscribe at any time with the link in our emails or by emailing us.
To understand how the site is used with Google Analytics: your consent, only if you accept analytics cookies.

Who we share it with

Square (payments and checkout). Square also uses payment information under its own privacy notice.
Cloudflare (website hosting and security).
Google (Google Analytics, only if you accept analytics cookies).
Resend (sending our emails) and IONOS (our email provider for shop@).
Royal Mail gets your name, address and, where needed, phone number and email, to deliver your order.
For orders outside the UK, customs authorities get the details on the customs form.

We don’t sell your information or share it for advertising. Some of these providers process information outside the UK, for example in the United States; where they do, they use safeguards recognised under UK law, such as the UK International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework.

How long we keep it

Orders and refunds: 6 years after the end of the financial year they fall in, for tax and accounting.
Marketing list: until you unsubscribe; then we keep only a record that you opted out.
Emails and messages: up to 2 years after we last hear from you, unless they relate to an order.

Your rights

You can ask us for a copy of your information, to correct it, to delete it, to limit how we use it, to move it to someone else, or object to us using it. You can withdraw consent to marketing at any time. Email shop@vintageoriginals108.co.uk; we reply within one month. If you’re unhappy with how we’ve used your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint.
